Understanding the Queensland Rental Application Process: A 2026 Guide

Rental Application

Applying for a rental property in Queensland has become a more standardised and privacy-protected process following reforms that took full effect in May 2025. If you are entering the rental market for the first time — or returning after some time away — understanding how the current application process works will help you present your best case and protect your personal information.

The Standardised Application Forms

Since May 2025, property managers and landlords are required to use the approved standardised rental application forms — Form 22 for general tenancies or Form R22 for rooming accommodation. These forms set clear limits on what information can be requested from applicants.

What Can Be Requested What Is Prohibited
Up to two identity documents Rental bond history
Up to two income documents Details of prior legal action
Rental history references Information beyond the approved form
Employment references Copied identity documents (if tenant objects)

Your Right to Free Submission

At least one method of submitting your application must be free. If a landlord or agent asks you to upload documents through a paid service and offers no free alternative, that is a breach of the current rules.

Privacy Protections Around Identity

Identity documents must be sighted rather than copied where the applicant requests this. You have the right to have an agent view your passport or driver’s licence without them retaining a copy — a protection that significantly reduces the risk of identity theft from the rental application process.

The Rent Bidding Ban

Once you have submitted an application, a landlord cannot accept an offer of rent above the advertised price — rent bidding is banned. Any suggestion that a higher offer would improve your chances is a breach of the law that can be reported to the RTA.

With Queensland’s vacancy rate at just 0.9%, competition for rental properties remains fierce.
